Six gyms, one website, and a member system built to match.

Kaizen MMA runs six locations across Northern Virginia. Their WordPress site had 103 pages, but most of what Google could actually see were old URLs that no longer existed, and a duplicate copy of the site was indexed separately. Member records were split between two systems, and half the gyms had no member data at all.

Where it started

What we found.

  • A WordPress site where only about 20 pages had any search visibility, and most of the visible URLs were old slugs that had already been removed.
  • A duplicate copy of the site indexed under a separate address, splitting the signal.
  • Member and billing records split between two systems, with no single view of who was actually active.
  • Half the gyms had leads in the CRM and no member records at all.
  • No way to see, on any given morning, who had booked a trial and who had turned up.

What we changed

The work.

  1. Rebuilt the site and moved it off WordPress.

  2. Built Gym OS: a check-in kiosk, digital waivers, and a staff dashboard showing members, leads, and today's trials. Migrated five locations of member records into one system.

  3. Published articles on a tri-weekly cadence and grew the site to over 150 pages, including a page for each location and program.

  4. Launched SMS bots for trial confirmations and for after-school enquiries across all locations.

  5. Put the booking quiz on 98 pages, so a visitor can start a trial from wherever they land instead of hunting for the contact page.

  6. Brought the newest gym onto the same stack. Its trial and after-school texting runs through our bots while its own membership system stays authoritative, and the two are kept in sync automatically.

  7. Started a monthly reporting document with search, map, sign-up and AI-visibility numbers per location.
